FreeAgent comes equipped with multiple ways to view your data. The 4 main Views for organizing data in FreeAgent are – ‘List’, ‘Rolodex’, ‘Board’, and ‘Calendar View’.
Let’s take a look at each view!
List View
List View is the default view type across all apps.
‘List View’ displays your data as a highly functional and dynamic vertical list where you can compare and view large amounts of data all at once.
You can choose which columns you’d like to see; you can include all of the fields on your records or just a select few. Columns have adjustable widths and can be re-arranged with a simple drag-and-drop interface.
To adjust the columns, use the ‘Filter’ drop-down menu in the top right of your view panel, next to the save button, and select the ‘Columns’ tab.
From List View, you can take several actions:
- Batch-Edit Records
- Import Records
- Add a Dashlet to your view to include data visualizations of your data
You can include data in List View from Related Records, using the Dot-Walking feature that can be used to pull data in from Reference Fields, and dynamically calculate column data for any numeric field like Currency or Percentage. Select the 'Calculate' option and define the statistic you want to calculate for the Column such as Count, Average, Min, Max, and Sum.
To learn more, check out the guide: Filter, Sort & More.
To change the View type, click the ‘Filter’ drop-down menu, along the left side of the menu you will see the 4 main views listed.
Select ‘Rolodex View’ next.
Rolodex View
The primary benefit of Rolodex View is the ability to scroll through records quickly without changing/reloading the page keeping your records accessible while being able to navigate between and view them all in a single view.
Records are represented by Cards, listed vertically on the left side of the View panel. The data shown on the cards are updated dynamically in real-time directly from the record. Cards can be configured to show any data set that works for you, including images, contact fields, assignments, and more.
To learn more about Card Configuration, check out the Guide: How to Configure your Card in FreeAgent.
Board View
Next, we can select ‘Board View’.
Records are represented by Cards in Board View. The data shown on the cards is updated dynamically in real-time directly from the record.
Board view requires that the data you want to visualize is grouped. The group tab will be selected automatically as soon as you click on the Board View button.
Select the field to group your records. For this example, we will group by ‘[Contact Stage]’. To learn more, check out the Guide: Filter, Sort, and more.
We can now see the data in our ‘Board View’ sorted into columns based on the group selected. You can re-arrange the column order using drag-and-drop in the 'Filter' drop-down menu.
From Board View, you can take several actions:
- Update individual records by drag-and-dropping between columns (most often, this is used to update the stage/status of a Lead, Deal, Quote, Project, or Ticket).
- Add a Dashlet to the Board View to include visualizations of the data.
Calendar View
Lastly, we have the ‘Calendar View’.
This view will show a calendar that displays records based on date-related fields such as ‘Closed Date’, ‘Last Interaction’, ‘Creation Date’, or any other date-related field you choose.
You can adjust the calendar view by ‘Month’, ‘Week’, ‘Day’, ‘Agenda’, ‘Resource Week’, or ‘Resource Day’ to get a time-based snapshot of when your business resources are needed, helping you know when to allocate team members to tasks, projects or opportunities.
To learn more about different categories in Calendar View, check out the Guide: Calendar View.
Dashlets
Each view has the ability to enable a Dashlet at the top of the screen to add data visualization elements to your views.
To enable Dashlets, navigate to the top-right corner of the view and click on the Dashlet button.
