The Stage field is a rather unique field type. It allows you to create your own flow within FreeAgent CRM. Whether you want to create a Sales pipeline or to capture the progress of a different process, this field type is the right for you.
Note: You can only have one Stage field per App.
Configuring a Stage Field
Give your field a name and add a field hint if desired. You can then select the section in which the field will be created or keep the default option.
The field type must be set to 'Stage'.
Enable the 'Required' checkbox if the information for this field is mandatory. It means that if you enable this option, every time a team member creates a new record, they will need to upload an image for this field in order to save it.
If you enable the 'Lock After Create' as its name implies, the field will be locked once the new record is saved and the value of the field will not be editable afterward.
Once you are done setting your field, click the save button.
Note: All new fields are added at the bottom of the form.
Adding the Stages
Once your field has been created, select it and click the 'Edit' button.
There you will have the 'Add Stage' button to add as many stages as you need for your process.
There are some options available for each of the Stages you add:
- Assign a color. The color selected should be different from the other Stages as it is used as the color of the icon and in the charts as well.
- Assign an icon. This adds a visual detail for each stage. If you assign a color to the state, the icon will take in that color as well.
- Dependant fields. This option allows you to automatically change the value of other fields when the Stage changes.
For example, if the Stage of the Opportunity changes to "Closed Won", you can add the Win Probability as a dependent field and set its value to 100%. Once the Opportunity is updated to this Stage, the win probability will be updated as well.
Default Value
Once you have added your Stages, you have the option to select one of them to be the Default value. This is a great option since it will allow you to add by default the information to save some time for your team.
You could set the Stage of your opportunities to New for example, when they are just being created, and have the team update it was the move along with the Opportunity.
Reorder Stages
You can reorder the Stages as required, just click the reorder button available on the Stage 'edit' page. There you will be able to drag and drop the Stages in the desired order. Once you are done reordering them, just click the 'Save' button.
Delete Stages
If your process ever changes, you have the option to delete one of the existing Stages. You will need to select another Stage to update all the records that currently are in the Stage you want to delete. Just select the right Stage on the dropdown and save. Confirm the process if you wish to continue.
Note: Once a Stage is deleted, the record's information will be updated with the select Stage. This process can not be undone.
