To begin you will need to create a Zap and define the rule that will trigger it. In this step will cover the following topics:
Create your Zap
Under the main menu, click the 'plus' button to create your Zap.
When This Happens...
This is the first step of your app. You need to choose the application that will "trigger" your Zap. Since we are looking to receive an email from the lead generation service, the app we need here is "Email Parser by Zapier". If the App is not visible at this point, you can use the search function to find it.
Note: There are other Email Parser applications available if you want to try with a different one. Be advised that some could require an additional subscription.
During this step, it is also recommended to give your Zap a name. Make sure that you use something descriptive for its name, like the Lead generation service + FreeAgent CRM, to make it easy for you to identify them.
Next, you will need to specify the 'Trigger Event'. Here you want to go for 'New Email' and then click the 'Continue' button.
Connect with Email Parser by Zapier
Now it will ask you to 'Choose an Account'. Just click the 'Sign in to Emai Parser by Zapier'.
You will need to 'Authorize' Email Parser by Zapier. Your Zapier Email Parser account will be automatically selected in this step and the 'Continue' button will be enabled. Click on it to proceed.
Create Email Parser Mailbox
Then you will need to select a Mailbox. If you haven't created one, then click the link and go to https://parser.zapier.com/
Click the 'Create Mailbox' button. A new mailbox will be created, and it will have a unique email address assigned. You will need to send a new Lead to this email address in order to create your 'Template'. This template is used to extract the data from the 'New Lead' email in order to them add that data in FreeAgent CRM.
Important! When you send the New Lead email to the mailbox, please make sure that you are using a real email from the Lead Generation Service for the reasons described in the "Before Getting Started" section.
Once you send the email to the Mailbox, you can wait for it to show on the page or click the 'Refresh page to look for new email' button to speed the process.
You are given the option to personalize the email address for your Mailbox if you want to, however, please be advised that the address has to be as unique as possible. We recommend keeping the suggested address and just a word that could work as a hint for you, otherwise, just keep the address as is.
Create Labels
To identify the elements in the email that you want to move to FreeAgent CRM, you need to first select them and assign them a label, so that you can easily identify them in the next steps of your integration.
To create a label, select the value, and assign a name for the label, then click the 'Save' button. All labels should be lowered case and shouldn't include spaces.
Create a label for every piece of information that you want to extract from the email address. Once you are done, make sure you have everything labeled correctly and click the 'Save Address and Template' button.
Select the Mailbox
Once your template is ready, go back to the previous window and select your new mailbox in the dropdown and click the 'Continue' button.
Test Trigger
The final process in the first step of your Zap is to test your trigger. To do this, just click the 'Test trigger' button.
Email Parser will search for an email in your Mailbox, and using the template you just configure, it will extract the relevant data for you out of that email. If it is successful it will display the data as follows:
Click the 'Continue' button and you will have completed the First Step of your Zap. Up next, 'Do This'.
