We know that there could be some contacts in your contact list that exist more than once. In case this happened to you it is important that you can combine them into one within FreeAgent CRM so that you can keep all your interactions under the same Activity timeline.
First, you will need to go to your Contacts app and choose the List view in order to find those duplicates. We recommend that you sort your contacts by Full name to spot them easily.
Once you have identified those that exist more than once, click on the checkbox to the left of their names to enable the options above and click on 'Merge'.
This will take you to the 'Merge' window where all the Leads information will be available for you to review.
Given that the information between each entry for that Lead may vary, here you can review every single field and select the information you wish to save for the Lead. For example, if there was a different personal email in the two different contacts, then you can simply click on the personal email and select the one you want to keep in that field. Once you are done selecting the information, click the 'Merge' button.
IMPORTANT! Keep in mind that merging only takes into account 'out of the box' fields, so if you have custom fields and you decide to merge, the information on those fields will be lost. If you do, we recommend that you export a CSV file with your data before merging.
The multiple contacts will combine into a single one that includes the information you selected. If you review your Contact list, you will notice that the duplicates are gone. Please note that you might need to reload the page for the duplicate to disappear from the list.
That was easy! Now you can spend more time on what’s important to you, knowing that your list of Contacts is duplicate free.
