FreeAgent CRM will allow you to create, view and export reports. This section of your onboarding process will explain how to:
Create a Report
FreeAgent CRM gives you the option to generate reports based on your Saved Views, which means that you can filter the data exactly as you need it for your report, create a Saved View and FreeAgent CRM will take it from there.
Before creating a report it is important to create a 'Saved View' with the data you want to use for your report.
Once you have created your Saved View, go to the Reports tab, click on 'Reports' (1) and then click the 'Create Report' button (2).
This will bring up the Report creation window which is made of 2 main parts, the data selection (1) and the preview (2).
Give your Report a name, then select the Saved View (1) which you would like to use to generate the report. Once you select the view, it will show you which filters were used on the data (2).
Then select one of the options on the 'Group by' section. According to the available data, it might be necessary that you select the 'Aggregation' as well. Finally, select the chart type (1) for your report. You can see your selected chart on the 'Preview' section on the right-hand side.
It is possible to share the reports you create with your team. To do so, simply click on the checkbox next to 'Share with Team'. Once you are satisfied with the report click the 'Save' button.
Your report will be created and available in the Reports section. If you shared the report with your team, they will also be able to see it under their Reports.
To create a dashboard, click on the 'Reports' tab (1), then select 'Dashboard' and click the 'New Dashboard' button (2).
Here you will need to give your Dashboard a name and then click the 'Add' button.
Once your Dashboard is created it will appear on the list. Click on its name.
Here you can start adding Widgets to the Dashboard. Click on 'Pick a Widget' or go to 'Things You Can Do' and click 'Add Widget'.
Here just select one of the reports you would like to add to the Dashboard and click the 'Save' button.
Repeat the process to include as many widgets as you need to complete your Dashboard.
You can rearrange the Widgets by dragging and dropping them on the desired location. The others will be automatically rearranged. You can also change the dimensions of the widgets by using the resizing tool available on the bottom right corner of each widget.
Export all your contacts, accounts or deals on a single file or customize the information that the CSV file will include. It is especially important to do so if you are making use of custom fields and you wish to add them on the export CSV.
To do a simple export that will include the default information for all your contacts, accounts or deals, just go to desired tab, and click on 'Things You Can Do' and select Export CSV file.
The download will start as soon as you confirm that you wish to continue with the download, as it could take a few seconds. It is important to mention that there is a limit of 5000 records that you can download in a single file.
Important: Make sure you don't have any active filters or saved views before exporting the CSV file.
There are two options when it comes to modifying the information available on the export CSV: filters and list configurations.
Export data based on Filters
Filters are available on the three different view options for your tabs: Rolodex, List, and Board. Click on Filters to display the available options. As you select each filter, the information will change in real time.
Once you are done selecting the filters, click on 'Things You Can Do' and select 'Export CSV' file.
The download will start as soon as you confirm that you wish to continue with the download, as it could take a few seconds.
Your CSV file will only include the information available on the view after applying the filters.
Export data based on List Configuration
With this option, you can include or hide columns in the 'List View' and rearrange them, and they will be included in the CSV file. Click on the list icon between 'Save View' and 'Things You Can Do' to display the 'List Configuration'.
Here you can select additional columns for your view and rearrange them by dragging and dropping them on the desired position. Only the selected columns will be included in the CSV file.
It is also possible to combine filters and list configuration, as described above, to further refine the information contained in the CSV export file.
You can always Save your View once you are done applying filters and changing the list configuration to avoid having to go through all this process again in order to Export another CSV file.
