FreeAgent CRM will allow you to create, view and export reports. This section of your onboarding process will explain how to:
Create a Saved view
FreeAgent CRM gives you the option to generate dashboards based on your Saved Views, which means that you can filter the data exactly as you need it for your Dashboard, create a Saved View and FreeAgent CRM will take it from there.
Before creating the Dashboards it is important to create a 'Saved View' with the data you want to use for it.
Creating a Saved view means that if you have applied filters, rearranged the order and width of the columns in the list view, or have applied any special view configuration, you will be able to save it and come back to it any time.
Let's see this in action in the gif below.
Update an existing Saved View
You can update your existing Saved views by adding more filters, changing the configuration and even by adding some sorting options. If you decide to update it and you want to keep this new version, you can save your changes. This is a great option to keep your Saved views up-to-date, without having to create multiple new ones.
Just make your changes and click the 'Save changes' option.
Once you have created your Saved View, go to the Dashboard on the menu and click on Manage Dashboards. Then click 'New Dashboard'.
Here you will need to give your Dashboard a name and then click the 'Add' button.
Once your Dashboard is created it will appear on the list. Click on its name.
Here click the 3 dots icon to display the available options and then click 'Add View', then select the Save view you want to add to your Dashboard and click the 'Save' button.
Repeat the process to include as many widgets as you need to complete your Dashboard.
You can rearrange the views by dragging and dropping them on the desired location. The others will be automatically rearranged. You can also change the dimensions of the views by using the resizing tool available on the bottom right corner of each View.
Export all your contacts, accounts or deals on a single file or customize the information that the CSV file will include. It is especially important to do so if you are making use of custom fields and you wish to add them to the export CSV.
To do a simple export that will include the default information for all your contacts, accounts, deals, or any custom app. Just click the 3 dots icon to display the available options and then click Export CSV.
The download will start as soon as you confirm that you wish to continue with the download, as it could take a few seconds. It is important to mention that there is a limit of 5000 records that you can download in a single file.
Important: Make sure you don't have any active filters or saved views before exporting the CSV file.
There are two options when it comes to modifying the information available on the export CSV: filters and list configurations.
Export data based on Filters
Filters are available on the all the different views in FreeAgent CRM: Rolodex, List, Board. Click on Filters to display the available options. As you select each filter, the information will change in real-time.
You will know that filters are active thanks to the filter tags. They will show you which filters you have applied to your view.
Once you are done selecting the filters, click on the 3 dots to display the available options and then click on 'Export CSV'.
The download will start as soon as you confirm that you wish to continue with the download, as it could take a few seconds.
Your CSV file will only include the information available on the view after applying the filters.
Export data based on List Configuration
With this option, you can include or hide columns in the 'List View' and rearrange them, and they will be included in the CSV file. Click on the gear icon between 'Save View' and the 3 dots icon to display the 'List Configuration'.
Here you can select additional columns for your view and rearrange them by dragging and dropping them on the desired position. Only the selected columns will be included in the CSV file.
It is also possible to combine filters and list configuration, as described above, to further refine the information contained in the CSV export file.
You can always Save your View once you are done applying filters and changing the list configuration to avoid having to go through all this process again in order to Export another CSV file.
