When new Leads are added to FreeAgent CRM it is quite easy to assign them to a team member, but you might wonder "isn't a better way to do this?" and the answer to this question is there is! and it is called Contact Assignments.
This rules will help you assign your new leads to your team members according to a set of predefined rules. Whether you want to have specific leads assign to a single team member or if you want to rotate which team member gets the new lead.
Creating Contact Assignments
To get started click on your portrait, and then click on 'Settings' (1). Once there, click on Lead Assignments (2) on the left-hand side menu. Then click the 'Create an Assignment' button (3).
This will take you to the Assignment creation window. Here you can name your rule (1), assign the priority (2), select the type (3). There are two types of rules: Assign to individual and Round Robin.
Assign to Individual
When you select the type 'Assign to Individual', you will need to specify to which team member (1) you want to assign new Leads to.
Then you can specify a set of different rules to make sure that only the new leads that have all the requirements are assigned to your team member (2). If no rules are added then all new leads will be added to the selected team member.
For the above example, we wanted that the new leads that come from FedEx NY are assigned directly to Courtney, so we specify that the work email should contain 'fedex.com' and that the cell Phone starts with the NY area codes.
There are many other rules you can create, for example, you can assign a lead to a given team member when they include in their information social media links, like so:
Once you are done adding rules, click the 'Save' button. This will create your lead assignment rule. All your rules will be included on the list.
When you select the type 'Round Robin', you will need to specify which team members (1) you want to add to the rotation. Each new lead, that meets the criteria, will be assigned to one of the team members in the rotation in the order you specified.
You can add additional rules to set the criteria that the new leads should have in order to be assigned to your team members (2). If no rules are added then all new leads be assigned to the team members in the order defined.
Let's say that you would like to assign all the new leads that have in their contact information an email address to your team members making sure that they are all in the rotation, like so:
Once you are done adding rules, click the 'Save' button. This will create your lead assignment rule. All your rules will be included on the list and the Round Robin rules will show 'Multiple' under the 'Assigned To' column.
Great job! Now your Leads will be automatically assigned to the corresponding team member based on the rules you set up.
